Mike has discovered over 2500 presentations worldwide some ideas for room set up that will add to the quality of any meeting when applied.

To enhanced and receive positive, enthusiastic responses from the audience you can start by using some of these room setup principles below.

Please keep in mind, Mike does not require that you do any of these. We are just adding them here for whatever value that it may be to you, the meeting planner.

For All:

  1. Make sure to use your own speaker sound system, versus the speakers in the room ceiling. The Quality sound will provide a much higher level of professionalism.
  2. Here is the suggested minimum stage size: – 16 feet deep and 18 feet long with no podium
  3. Place speakers in the front, middle, and rear of the audience.
  4. If you’re planning on recording, put microphones in the audience to pick up audience response
  5. Use additional light sources for a presenter. Studies have proven that when the presenter is illuminated more than the audience, The listeners can hear better and are less distracted.
  6. Look to keep the front row near the stage as much as possible- a comfortable distance is about six feet away when possible.
  7. Less is better. If you are planning on a 200 people event, for example, do not overset the room, set the room for 200 (or fewer), not 250. It is better to have every seat filled and a demand for more seats than large empty spots throughout the audience and an empty front row.
  8. Block off the last rows of the seating sections so the audience moves to the front for seating. Do not open until after the event is just about to start or a need for the seating.
  9. If the room is rectangular, set the stage area in the middle of the long wall not on the short end. It is better to have an audience wide and close than deep and far away.
  10. Ask attendees to turn off phones and other possible alarms before beginning.
  11. Let attendees know there are no photos or recordings allowed during the event (unless it is authorized).
  12. Use a dark backdrop with a backlighting. The face of the presenter is accentuated against it.
  13. Use high energy and appropriate music in your program. Use them before, after and during breaks. Also use them to bring on the speakers after they have been introduced. Make sure to set the volume just a bit higher than the audience conversation during breaks and louder for the speaker t com on stage. This will keep and raise the energy of the room.
  14. Use image magnification where appropriate.
